INFORMATION SHEET

CHILDREN

  • Junior Camp is for children 6 years and over and off the lead rein.
  • Please stay at camp in the morning until the rides have gone out if your child needs help to tack up and mount.  This will ensure that rides can depart on time.
  • Children who cannot manage their pony on their own in an open field must be accompanied at camp by a responsible adult.
  • To attend Pony Club Camp, all children must have attended at least THREE RIDDEN Pony Club Rallies plus ONE STABLE MANAGEMENT rally (since camp last year). Two of the ridden rallies must be PRE CAMP Rallies (see Pony Club fixtures for dates). Please note this requirement is a minimum, and will be enforced this year!
  • The more rallies your children attend the better able they can be placed in an appropriate ride. Please be aware that the purpose of the Pre Camp Rallies is to look at all the children and their ponies so a fair assessment of the combination’s ability can be made.

 

PONIES

  • Ponies need to be fit enough to work for several hours each day.
  • Ponies must be 5 years of age and over.
  • Please make sure that all ponies have been recently shod (hind shoes removed if staying overnight).
  • Coughing ponies will be sent home.
  • Ponies must have been recently wormed.
  • Ponies can stay overnight at camp, they will be turned out in mares and geldings paddocks.  Any ponies with hind shoes will not be able to stay.  There will be someone in attendance over night but the responsibility for your pony will continue to rest with you and in an emergency the parent will be called and if needed the parent will need to arrange their own veterinary assistance.
  • If your pony is staying, before you go home, please lead your pony out to the appropriate paddock (with the instructors’ permission) and take out your 2 water buckets, full of water.
  • Make sure your pony’s head collar fits and is secure and left on and is marked with riders’ name.
  • We will catch ponies and bring them in to the barn in the morning.  It is essential that a ribbon the colour of your ride is fixed securely to your headcollar and lead rope so that we can put the ponies in the right part of the barn (ribbons will be provided on the first morning).

 

EQUIPMENT

  • Bridle complete with a neck strap (and grass reins if required)
  • Saddle complete
  • Strong headcollar and lead rope
  • Grooming kit
  • Water bucket
  • Hay in haynet
  • Hard feed if required
  • Tack cleaning kit with small bucket
  • Skip/fork/wheelbarrow for skipping out

All tack must be in a good and safe condition and all items should be clearly labelled

 

 

 

PC CAMP T-SHIRTS

 

As indicated on the booking form, you can pre-order a Camp 2016 Tshirt (£10) in red.  They may be a limited number on sale during the week, but as last year demand was high we would advise pre-ordering if you would like to secure an item.

 

RIDERS

 

  • Hat/skull cap – it is mandatory for all Members to wear a protective helmet manufactured to one of the following standards: PAS 015:1998 or 2011 with the BSI Kitemark, Snell E2001 with official Snell label and number, AS/NZS 3838 1998,2003 or 2006, VGI with BSI kitemark, ASTM-F1163 2004a with the SEI mark. Hats must be ‘tagged’ with a WHITE tag to show they have been checked by a senior Pony Club official.
  • Hard hats must ALWAYS be worn by any child in the pens with the ponies
  • Correct dress:  Pony Club sweatshirt and tie, long sleeved shirt, gloves and hairnet for girls.  A hacking jacket is required on Friday
  • Jodhpurs – beige, navy or black, riding or jodhpur boots
  • Body protector. Body Protectors used for Cross Country must meet BETA 2009 Level 3 standard (purple label)
  • Waterproof coat/jacket
  • NAMED WATER BOTTLE

 

 

ARRIVAL

 

On arrival please drive straight through the farmyard to the parking field beyond.

 

PARKING

 

We are very lucky to be able to use Oxpens for Junior Camp – it is a working farmyard and therefore absolutely NO PARKING or DROPPING OFF is allowed in the yard by the barn or on the opposite side of the drive to the barn at any time.  Harvest tractors use the area at all times and must have unfettered access.  If we do not adhere to this we greatly jeopardise being able to hold camp here in the future.  Please park only in the allocated parking field beyond the farmyard.  We cannot be held responsible for trailers left at camp over night.

 

LUNCH/REFRESHMENTS

 

  • A daily packed lunch can be pre-ordered at time of booking for £4.00

(THESE WILL NOT BE AVAILABLE ON THE DAY)

  • Tuck shop will be open at the end of the day selling sweets and drinks

 

SECOND HAND EQUIPMENT SALES

 

There will be an area to display used clothes and tack for sale.  The items and negotiations for any sales are the responsibility of the sellers at all times.

 

PHOTOGRAPHS

 

A professional photographer will be taking photographs of the children and their ponies at some time during Camp.  If you do not want any photos of your child/pony to go on the CHPC website, please tick the appropriate box on the Booking Form.

 

DOGS

 

Dogs are not allowed at camp.

 

 

 


BEHAVIOUR

 

Camp is run by volunteers with the aim being that all those involved (including organisers and instructors) have an enjoyable time.  Bad behaviour and language will not tolerated and may result in the person concerned / or their child being asked to leave Camp.

The owners of Oxpens Farm and the organisers of the Camp for themselves, their servants, agents, employees do not accept liability for any damage, whether occasioned by the negligence or breach of contract or statutory duty of themselves, their servants, agents, employees or those connected with the Camp or otherwise however arising.

 

TIMETABLE

 

  • Camp runs from Monday to Friday inclusive.
  • Monday morning briefing at 9.30am.  This must be attended by all children and a parent/guardian for each child as it will outline the agenda for the week, safety issues, dos and don’ts etc.
  • The timetable may change from previous years – the week’s activities will be outlined at the Monday briefing
  • On Friday:-
    • Family and friends are very welcome to come and watch their children ride.
    • After lunch all parents/helpers will need to help clear away the equipment from the barn and jumps from the field.  The Instructors will give the children some activities to keep them occupied meanwhile.  Once the field is clear Prize Giving will take place (around 3.30pm).
    • Ponies may not go home before prize giving.
  • There will be noticeboards in the barn with more detailed information for each day.

 

 

 

The organisers of Camp, and all those that help, are volunteers and work tirelessly throughout the year to ensure a safe and happy week for those attending.

 

If you have any queries or concerns please talk to one of the Camp Committee as soon as possible and we will endeavour to resolve any difficulties at the earliest opportunity.

 

If we are not able to resolve an issue then it will be passed on to the Cotswold Pony Club District Commissioners, Stephanie Grayson and Jessica Moseley.

GENERAL INFORMATION

  • See Junior Camp Information Sheet on the CHPC website
  • Junior Camp is for children 6 years and over and off the lead rein. If children cannot manage their own ponies in an open field they must be accompanied by a responsible adult.

FEES

  • Camp fees for entries received BEFORE 7 June 2016 – £135 per child
  • Camp fees for entries received AFTER 7 June 2016 –  £180 per child
  • Closing date for entries – 1 July 2016.  We were yet again oversubscribed last year – so please get your entry in early to secure a place at Camp!
  • In a similar vein to the PC membership fees, we are offering a discount for several in a family – 25% off fees for a third child, and 50% off fees for a 4th This applies to all children attending Senior, Junior and Mini Camp and the discount will apply to the youngest children in applicable families.  This applies to Camp Fees Only (not lunches etc).  If you are claiming a family discount please pay by cheque, not paypal.
