Volunteer: Coaches / Instructors

–       must be unpaid and

–       supervised by a Fully Accredited Coach (category 1), the DC, or any other official who fulfills the requirements for category 1

Present on the Pony Club Instructor Database.

Where Volunteer Coaches are coaching regularly (i.e. four or more times within any 30 day period) a DBS check and attendance at a Safeguarding & Protecting Children workshop is required.

Have a current DBS (CRB)

Attended a “Safeguarding & Protecting Children Workshop”


Present on Pony Club Database

In order to teach for The Pony Club, all Instructors/coaches must either be Verified by Pony Club or accredited coach for BEF discipline body.  To become present on the Pony Club Instructor Database, a branch must share the Instructors contact details with Pony Club Main Office.  An instructor may not be added to the database without the referral by a branch.

BEF Accredited Coach

Accredited coaches for another BEF discipline body (British Eventing, British Dressage, British Showjumping, UK Polocrosse Association etc.) may be used in The Pony Club but only for the discipline that they are accredited in.

DBS – Paper Method

If an applicant does not have access to a computer the DBS can be completed in a paper format. (Click Here)

Previous check completed within the previous twelve months

1)    Branch checks APPLICANT’S DISCLOSURE FORM.

2)    Branch confirms applicant’s identity and completes the bottom of the CRIMINAL RECORD CHECK COVER SHEET with THE VOLUNTEER’S SELF DECLARATION FORM.

3)    The Branch retains a copy and one copy to be sent in to The Pony Club Office, Stoneleigh.

No previous check

1)    Branch gives volunteer a DBS DISCLOSURE APPLICATION FORM.

2) Volunteer completes  and returns to Branch along with identity documents

a)    DBS DISCLOSURE APPLICATION FORM –  (Sections A,B,C and E only) in BLACK ink and BLOCK CAPITALS. Please leave Section D blank. If forms have to be returned due to errors, a fee of £5 will be charged, so please read instructions carefully.

b)    CRIMINAL RECORD CHECK COVER SHEET – Top section only

3)    Branch verifies volunteers identity and completes the bottom of this DBS DISCLOSURE APPLICATION FORM, what documents were seen and signs and dates the form.

a)    The ID checkers will need to fill in the registered body use only boxes in Section A, B to verify the applicant’s details and Section W. DO NOT fill in Section D, X, Y, Z

b)    Branch/Centre CPO sends the DISCLOSURE APPLICATION FORM together with the CRIMINAL RECORD CHECK COVER SHEET and the administration fee (made payable to British Horse Society) to The Pony Club Office, Stoneleigh. (Volunteer £10, Employed £54). Do not send forms to DBS or the BHS.

4)    The form is checked and a record made before it is forwarded to the BHS Approvals Department and the DBS.

5)    DBS sends disclosure report back to BHS Approvals Department and volunteer.

6)    BHS Approvals Department informs The Pony Club Office of the result. Branch informed.

In the event of the Disclosure indicating a relevant conviction or other information the applicant has the right to appeal to the Pony Club Review and Appeals Committee.

7)    Disclosure report retained by BHS Approvals Department for 6 months before secure shredding.

  • Must not earn their main income from coaching riding.
  • They may be paid to coach for The Pony Club.
  • They must be supervised by a Fully Accredited Coach (category 1), the DC, or any other official who fulfills the requirements for category 1.

  • Have achieved UKCC Level 1 or 2 with The Pony Club (received their certificate and their assessment must have been taken in the past two years).

April 2013 – A great day was had by all and the rain managed to stay away. Some children, parents and ponies had very early start to the day coming from Essex, Fernie, Newmarket, Puckeridge, to name but a few.

It was great to see so many children having a go for the first time. So much so that the first two races had to be divided so everybody had a go.

A great cross section of ponies from little woolly ones to little thoroughbreds, children from 9yrs to 15yrs all mixing together and lending kit some had forgot,

A big thank you to all the sponsors, volunteers and of course Cheltenham Racecourse that makes this great day possible.
