Team Selection Policy 2025

Purpose

To ensure a fair, transparent, and inclusive process for selecting members to represent the
Branch in team competitions, encouraging participation, development, and sportsmanship.
Once those members willing and eligible to be selected for the team in question have been
identified, further selection will consider several factors including but not limited to:

-Commitment – priority given to members showing dedication to the Branch, training,
rallies, competitions, and Pony Club values such as teamwork and sportsmanship.

Performance – both in previous competitions, at rallies, in training and demonstrated
ability at the required level. Development: Future potential and willingness to improve are considered.

-Inclusivity – All eligible members are encouraged to participate.

Selection is not a “win at all costs” process. Where members are broadly equal in
commitment, performance will guide selection. While loyalty and dedication are rewarded,
performance sometimes takes precedence. Disappointment may occur, but this is part of
the learning process and can encourage future growth

Selection Process

-Expression of Interest (EOI): any members wishing to be selected to represent the
branch in a team must make their interests known to the head of discipline.

-Training Observations: coaches, instructors and / or team managers will observe
riders during designated rallies, clinics, or training events.

-Selection process: selections will be made by a group of at least three people, which
should include, for example, the Team Manager and the District Commissioner (DC),
with input from the relevant team coach or coaches. All decisions will be made on a
case-by-case basis, taking into account the best interests of the team and individual
members

-Team Balance: Consideration will be given to creating well-rounded teams that meet
event formats and age/grade requirements.

Any member not selected for a team but still eligible to enter the competition as an
individual is encouraged so to do since they may be needed for the team as a last-minute
substitute and in any event their individual performance may influence future team
selection.

Appeals Process

 

-Any concerns about selection decisions may be submitted in writing to the District
Commissioner (DC) within 7 days of the decision.

-An independent panel (e.g., DC, Branch Secretary, and one neutral committee
member) will review the appeal within 14 days.

-The panel’s decision will be final.

Commitment Expectations

Selected team members are expected to: Attend all scheduled practices and meetings. Represent the club in a positive and respectful manner. Support fellow team members and uphold the spirit of Pony Club.

Review and Amendments
This policy will be reviewed annually.

 

Inclusivity Commitment

This branch is committed to ensuring all members feel welcome and valued. Riders with
diverse needs (e.g., disability, financial hardship, or minority backgrounds) are encouraged
to participate and can speak confidentially with the DC, the branch Safeguarding Officer or a
committee member about reasonable accommodations or support.
