Supporting Every Rider – Information for Parents & Members (Reasonable Adjustments)
At Cotswold Vale Farmers Pony Club, we want every child to feel happy, supported and able to enjoy everything Pony Club has to offer.
We understand that some children may need a little extra support to take part fully.
💡What is a Reasonable Adjustment?
A reasonable adjustment is a small change or bit of extra support to help your child take part on a level playing field.
This might be for things like:
* Injury or physical conditions
* Learning differences (e.g. dyslexia, dyspraxia)
* Anxiety or confidence
* Neurodiversity (e.g. autism)
* Medical or sensory needs
* Communication or language needs
It’s about removing barriers — not lowering standards.
🌟What Support Might Look Like
Every child is different, but support might include:
* Clear information in advance
* Extra time or flexible timings
* A caller or additional help at competitions
* Smaller groups or quieter environments
* Instructions broken down more clearly
Often it’s the small things that make the biggest difference.
📝How to Request Support
We’ve tried to keep this simple and supportive:
Complete a Personal Profile:
For Under 12’s pony-club-personal-profile under 12
For 12 and older pony-club-personal-profile 12 and older
Share a few details about your child and what support would help them.
Send It In Early
* For rallies/training → send to Chris Dee email: dc.cotswoldvalefarmers@pcuk.org
* For competitions → notify your Team Manager/Chris Dee
* Ideally at least 2 weeks’ notice
* For Area Competitions, as early as possible (at least 3-4 weeks if you can)
👉 The more notice we have, the better we can support your child.
Help Us Make Sure Nothing Is Missed
Once you’ve entered a competition:
👉 Please also contact the competition organiser (or ask your Team Manager to do so) to let them know a Reasonable Adjustment has been requested.
This doesn’t need to be detailed — just a simple heads-up.
✔ This helps make sure:
* The request is seen in time
* The organiser can plan ahead
* Everything runs smoothly on the day
Area Competitions – A Quick Note
For Area Competitions, there is a formal Pony Club process:
* Adjustments must be submitted in advance via the Personal Profile
* When you enter a competition, ensure you complete the “Reasonable Adjustments” section.
* Contact the event Organiser directly to make them aware of the request, and notify your Team Manager.
* Requests are reviewed by the Pony Club Competition Committee
* Approval must be in place before the competition
We know this can feel a bit formal — Chris can help guide you through it.
Short-Term Situations
If something temporary comes up (injury, illness, nerves), just speak to us.
We’ll always do our best to help where we can.
Privacy
We understand this is personal information. We will:
* Keep it confidential
* Only share with those who need to know
* Use it only to support your child
